Manage user accounts from an iOS device

Currently only available for super administrators.

If you’re a super administrator, you can use the Google Admin app to perform essential tasks from your Apple iOS smartphone or tablet.

Add new users and send them account details

Before people in your organization can begin using Google services, you need to add each user to your Google Workspace account.

You can also add users from Google Contacts on your iOS device.

To add a new user:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap Add Add User.
  5. Enter the user’s details.
  6. (Optional) Set the user's initial password.

    By default, the Google Adminapp generates a temporary password for the new user. The password character length is greater than the required minimum.

    • (Optional) To change the initial password, change Auto generate passwordto OFFand enter a new password twice.

      Google requires the password to be at least 8 characters. See Password help for tips on how to create a strong password.

    • (Optional) Require the user to change their password when they next sign in.

      By default, this requirement is on.

  7. To add additional information, tap Add more info. This information is visible in the Google Admin console and Gmail contacts.
  8. Tap Done.
  9. (Optional) To send details to the new user, tap Share.
Suspend users

You can temporarily block a user’s access to your organization’s Google services by suspending the user’s account. This doesn’t delete the user’s profile or data, such as documents, calendar events, or email messages. However, the user can no longer sign in to the account or get and new email or calendar invitations.

To suspend one or more users:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap a user’s image (not the user’s name) to select them. You can select more than one user.
  5. Tap Suspend Suspendto confirm.

To suspend a single user from the user’s details page:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap the user’s name to open their details page.
  5. Tap More Suspend Suspendto confirm.
Delete users

When users leave your organization, you might want to delete their user accounts. Deleting a user’s account deletes their Google Workspace data, including their email messages and calendar data. It also blocks them from accessing your organization's Google Workspace services, including Drive files they own.

If you delete a user account using the Google Admin app, you can’t transfer their data during the process. Therefore, all data related to their Google Workspace account will be deleted. To save a user’s data, you must sign in to the Google Admin console and delete the user there.

To delete one or more users:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap a user’s image (not the user’s name) to select them. You can select more than one user.
  5. Tap Delete Deleteto confirm.

To delete a single user from the user’s details page:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap the user’s name to open their details page.
  5. Tap More Delete Deleteto confirm.
Reset a user’s password

If a user forgets their password, or if you think their account has been compromised, you can reset their password. If you forgot your administrator password, see Reset your administrator password .

To reset a user’s password:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap a user’s image (not the user’s name) to select them.
  5. Tap Reset. By default, Auto generate passwordis turned on, which generates a random password. Turn it off if you want to set the password. If you choose to set the password, enter it and re-enter it to confirm.
  6. (Optional) To force a user to change their password when they next sign in, turn on Require a change of password in the next login.
  7. Tap Reset.

    If a secondary email address is available for the user, the user is automatically notified of the password change via that email address. If no email address is available, tap Notifyto alert the user of the password change using another method, such as Google Chat.

Restore a suspended user’s account

As an administrator, you can restore suspended user accounts that were:

  • Manually suspended by you (or another administrator) to temporarily block their access
  • Automatically suspended by our systems for being at risk
  • Automatically suspended from Gmail for exceeding the account limits

After you restore an account, users can sign in and access all their services and data. They receive email, calendar invitations, and so on, just like before they were suspended.

To restore a suspended user’s account:

  1. Open the Google Admin app. Set up now .
  2. If necessary, tap Menuthe Down arrowto switch to your super administrator account.
  3. Tap Menu Users.
  4. Tap All users Suspendedto show only suspended users.
  5. Tap the suspended user’s name.
  6. On the user's account page, tap More Restore Restoreto confirm.
