Manage & share your flows in Google Workspace Studio

Important:

If you're signed in with a school account and are under 18, you can’t use any AI features in Workspace Studio. If a flow containing AI steps is shared with you, those steps will be removed when you open the flow.

Once you create flows, you can manage them, get their activity, and share them with others from the Workspace Studio home page.

  1. On your computer, go to studio.workspace.google.com .
  2. To get a list of all your flows, click My flows.

Edit, rename, or copy a flow

  1. On your computer, go to https://studio.workspace.google.com My flows.
  2. Click the flow you want to edit.
  3. To edit a flow:Click the flow's name in the "My flows" list to open it in the editor.
    1. To edit a step, click the step.
    2. To delete a step, next to the step name click More Delete.
    3. To add a step, click Add step. Then click Moreand the up arrow to move it into position.
    4. If the flow is on, click Save changes. If you close the flow without clicking Save changes, your updates are saved but not applied to the flow.

      If the flow is off, your changes are automatically saved.

  4. To rename a flow:
    1. Open the flow in the editor.
    2. At the top of the page, click the pencilto rename your flow.
  5. To copy a flow:From the "My flows" list, next to the flow, click More menuand then Make a copy. The new flow will appear at the top of your list of flows.

Turn a flow on or off

If you don't want to delete a flow, you can temporarily turn it off.

  1. On your computer, go to https://studio.workspace.google.com and then My flows.
  2. Next to the flow:
    • Click More menuand then Turn off.

The flow stops immediately, including any in-progress runs. You can turn it back on whenever you’re ready.

Delete a flow

Important:When you delete a flow, it's permanent and can't be undone.

  1. On your computer, go to https://studio.workspace.google.com My flows.
  2. Next to the flow, click More menu Delete.

Get flow activity

You can get the run history and success status of your flows.

  1. On your computer, go to https://studio.workspace.google.com My flows.

    Tip:You can also view flow activity in the Workspace Studio side panel in Gmail. In Gmail, at the top clickFlows.

  2. To get activity for all your flows: Click Activity.
    • Tip:You can filter for Complete, In progress, or flows with issues.
  3. To get activity for one flow: Next to the flow, click More Activity.
    • Or, you can open a flow in the editor and at the top, click Activity.

Share a flow

You can share your flow with others in your organization.

When you share a flow, it allows others to make a copy of the flow. They can't edit your original flow or find its run history.

  1. On your computer, go to https://studio.workspace.google.com and then My flowslist.
  2. Click the flow you want to share.
  3. At the top, click Get a link to copy.
  4. Change the permission from "Private" to "Anyone in your organization with the link can make a copy."
  5. Click Copy linkand share it, such as in a Google Chat or Gmail message.
    • Copies have your latest setup, including files, text, and email addresses. Anyone with the link sees your email address as the flow creator.
