Create & manage tasks in Google Calendar

In Google Calendar, you can create, view, and change tasks.

Create a task in Calendar

Important:Only work or school accounts can use the "Do not disturb" and "Automatically decline meetings" options.

  1. On your computer, open Google Calendar .
  2. On your calendar, click an empty slot.
    • Or, at the top left, you can click Create.
  3. Click Task.
  4. Update your task settings.
  5. Click Save.
Tip:To find a list of all tasks from the last 365 days, at the top of your calendar, click Pending tasks.

Task setting

Description

Start date and time

Enter the start date and how much time you plan to spend on the task.

Deadline

Enter the date you expect to complete the task. The deadline appears on the "All day" section of Calendar.

Description

Enter the date when the task must be completed.

Select a list for your task.

Advanced settings

Customize your task with additional options. You can:

  • Change the color of your tasks.
  • Set your availability to Freeor Busy.
  • Turn on Do not disturbto mute chat notifications.
  • Turn on Automatically decline meetingsif your availability is "Busy."
  • Select your task's visibility to others.

Create a task from Tasks in Calendar

  1. On your computer, select an option:
  2. Click Create.
  3. Enter your task details.
  4. Click Save.

Tips:

  • To add a task to an existing list, at the top, click Add a task.
  • Tasks with a date also appear on your calendar.

Mark a task as complete

  1. On your computer, open Google Calendar .
  2. On the left of the task name, click Complete.
  3. At the bottom right, click Mark completed.

View, edit, or delete tasks

To appear on your calendar, tasks must have a date.

View your tasks
  1. On your computer, open Google Calendar .
  2. On the left panel, go to "My calendars."
    • To find "My calendars," you may have to click Menu.
  3. Make sure the "Tasks" box is checked.
Edit a task
  1. On your computer, open Google Calendar .
  2. Click the task you want to editand then Edit task.
  3. Update any task details.
  4. Click Save.

Tips:

  • You can also edit tasks from the side panel or from Tasks in Calendar .
  • If you want to change the date and time of the next repeating task in a series, click the date.
  • To edit the date and time for all tasks, click the repetition info.
Edit a deadline
  1. On your computer, open Google Calendar .
  2. Click the task you want to editand thenEdit task.
  3. Next to "Deadline ," enter a new due date for the task.
  4. At the bottom right, click Save.
Edit the task start & end time

Important:If you share your calendar with someone, you can change the visibility of tasks with a start and end time. Learn how to change event and task visibility .

  1. On your computer, open Google Calendar .
  2. Click the task you want to editand thenEdit task.
  3. Next to "Start date ," choose your start and end time.
  4. At the bottom right, click Save.

Tips:

  • You can't add an end time for recurring tasks.
  • To convert an existing task into a task with a start and end time:
    1. Open the task.
    2. Click Add time.
Delete a task
  1. Open Google Calendar .
  2. Click the task to update Delete Delete reminder.

Hide tasks on your calendar

Hide completed tasks
  1. On your computer, open Google Calendar .
  2. At the top right, next to "Settings menu," click the View switcher menuDropdown.
  3. In the dropdown, deselect Show completed tasks.
Hide all tasks
  1. On your computer, open Google Calendar .
  2. On the left panel, under "My calendars," uncheck the box next to "Tasks."
    • To find "My calendars," click Menu.

Find & edit pending tasks

To check all uncompleted tasks from the last 365 days:

  1. Open Google Calendar .
  2. While viewing a day's schedule, click Pending tasks.
  3. In the pop-up list, choose how to update pending tasks:
    • To edit a task, hover to the right of the task. Click Edit, make your changes, and click Save.
    • To complete a task, hover to the far left of the task. Click Complete.
    • To reschedule a task, hover to the right of the task. Click Reschedule this task.

Learn about task notifications

  • If you add a date and time to your task, you get notifications at the scheduled date and time.
  • Tasks with a date also appear in the Calendar app.
  • For tasks without a time, notifications appear at 9 AM.
  • For tasks with a deadline, you get a notification to complete the task on the day of the deadline at 9 AM in your local time.

Learn about repeating tasks

  • To repeat a task, select the date and time and then Repeat.
  • Tasks with subtasks can't repeat.
  • In Calendar, a certain number of upcoming instances of a repeating task will appear on the calendar grid, and as time passes, new ones will be added automatically.
