Use Gemini Apps with a work or school Google Account

Most users with a work or school Google Account have access to Gemini Apps. Feature availability and how your data is handled depends on your Workspace license.

    How to use Gemini as an additional service

    If you don’t have an edition of Google Workspace that includes Gemini Apps as a core service, you use them as an additional service. To use Gemini Apps as an additional service: 

    Check if you have access to expanded features & models

    Some features and models are only available with certain Google Workspace licenses. To check if you have access to expanded features and models in Gemini Apps:

    1. Go to gemini.google.com .
      • Make sure you’re signed into your work or school account.
    2. At the top, check for the Pro or Ultra badge. 
      • If you find the Pro badge, you have access to expanded features and models.
      • If you find the Ultra badge, you have the highest access to features and models.  
      • If you don’t find Pro or Ultra, you have standard access to features and models.

    Tip:If you don’t have access to these features, your Google Workspace administrator needs to upgrade your license to get access.

    Check if you have enterprise-grade data protections

    Enterprise-grade data protections are available with most, but not all, Google Workspace licenses . To check if you have enterprise-grade data protections with your work or school account:

    1. Go to gemini.google.com .
    2. Make sure you’re signed into your work or school account.
    3. On the homepage, check the prompt box for the shield icon.

    • If you find the shield icon, you haveenterprise-grade data protections.
    • If you don’t find the shield icon, you do nothave enterprise-grade data protections. Your chats in gemini.google.com may be reviewed by human reviewers and used to improve Google's products, services, and machine-learning technologies.
    Use the Gemini mobile app with a work or school Google Account

    Important:If you try to open the Gemini mobile app with an Android Work Profile, you will be brought to the Gemini web app.

    What you cannot do in the Gemini mobile app

    If you are using a work or school Google Account, some Gemini mobile app features aren’t available.

    The following features are not available for users with a work or school Google Account:

    • Gemini Live
    • Features that are powered by Google Assistant, such quick voice action features
    • Users with a work or school Google Account cannot delete chats or create public links for chats

    These features are not available in the Gemini mobile app for users with a work or school Google Account:

    • Connecting to Google Workspace 
    • Gems
    • File upload

    Troubleshoot error messages in the Gemini mobile app

    If you get an error message when you try to access the Gemini mobile app with a work or school account, check the troubleshooting steps below:

    1. Make sure that you have the most recent version of the Gemini app.In your app store settings, check if there’s an upgrade for the Gemini app.
      • If there’s an upgrade available, upgrade to the latest version.
      • If there isn’t an upgrade available, move to step 2. 
    2. Contact your Google Workspace administrator to confirm you have access to Gemini Apps.

    Gemini Apps limits & upgrades

    Gemini Apps has usage limits designed to ensure an optimal experience for everyone. This means we may at times have to cap the number of prompts and conversations you can have, or how much you can use some features, within a specific timeframe. 

    The number of prompts you can use before hitting the limit varies and depends on factors like how long and complex your prompts are, the size and number of files you upload, and the length of your conversations with Gemini Apps.

    Important:Gemini Apps limits may change. If capacity changes, limits for users without a Pro or Ultra plan may be limited before users without a plan.

    Your capacity replenishes regularly, so you can get back to chatting with Gemini Apps soon, or you can upgrade to a higher plan.

    Users with certain Workspace editions have higher limits in Gemini Apps. Learn about limits for work accounts or school accounts .
    How model limits work

    Gemini Apps has more prompt and chat limits for more advanced models. If you reach your capacity limit for a specific model for a given period, you can switch to a different model until that limit is reached or wait until your capacity limit is refreshed.

    How feature limits work

    Some features in Gemini Apps have limits for how many assets you can generate or actions you can schedule. These features include:

    • Audio Overviews
    • Deep Research
    • Scheduled actions
    • Video generation
    • Image generation

    Usage limits for all additional features are subject to the limits of the model that you select when you use the feature. These features include, but are not limited to:

    When you reach your limit, you can upgrade or wait until your limit refreshes.

    How to tell if you’re close to a limit & when it refreshes
    Gemini Apps will notify you when you're close to your limit based on your plan's level. When you reach your limit, Gemini Apps gives you another notification that tells you when your limit will refresh.
    What is a context window?

    What is a context window?

    When you upload files to Gemini Apps, it needs to "read" the content to provide useful insights or answers. The context window is like the reading capacity. It determines how much content can be understood together at one time.

    Why you might want a larger context window

    A larger context window allows Gemini to read and comprehend more. For example, with a 1M token context window, Gemini can understand up to 1,500 pages of text or 30,000 lines of code.

    If you exceed the context window, this could lead to responses that don’t take into account all the content provided or miss connections or details throughout the content. This is most relevant for prompts that require attention to many details scattered throughout large files.

    Activity for users with a work or school Google Account

    Manage & delete Gemini Apps activity

    For users with a work or school Google Account and access to Gemini Apps, Keep Activity is on by default and can only be turned off by your account’s Workspace administrator.

    • When you use the Gemini web app or mobile app with your work or school account, conversation history is saved by default for 18 months. Your admin can change the auto-delete setting to delete activity after 3, 18, or 36 months or turn history off altogether.
    • When Keep Activity is on, it includes activity from the Gemini web and mobile apps. Clearing your Gemini for Google Workspace history from a Workspace app doesn’t affect information saved to Gemini Apps Activity.
