Change the visibility of events or tasks on your calendar

After you share your calendar, you can change the visibility of your events and tasks to others.  Learn how to share your calendar with someone .

Change the visibility of events

An animation that shows how to change event visibility in Calendar. In the animation, the user opens an event and clicks the

  1. On your computer, go to Google Calendar .
  2. In your calendar, open an event.
  3. Click Edit eventEdit Default visibility.
  4. Select a visibility setting:
    • Default visibility
    • Public
    • Private
  5. Click Save.

Change the visibility of tasks

Important:If your task has a start and end time, you can change its visibility.

  1. On your computer, go to Google Calendar .
  2. In your calendar, open a task.
  3. Click Edit taskEditAdvanced settings.
  4. Select a visibility setting:
    • Default visibility
    • Public
    • Private
  5. Click Save.

When you share your calendar with others, they can find different information about your events or tasks with a start and end time.

Understand event visibility

  • If you don't share your calendar or make it public, your events:
    • Aren't shared with others
    • Are only visible to you
  • If you set your calendar to only show events as "Free" or "Busy" for everyone, event details can be visible to others to whom you assigned different visibility settings. To limit the visibility of individual events, set the event to "Private".
  • When you invite someone to an event, they can control how your event shows on their calendar.
    • If your event is set to "Default visibility" and your invitee has shared their calendar with others, those people can find the event details on the invitee's calendar.
    • If your event is set to "Default visibility" and you book a meeting room or other resource, people with access to the resource's calendar can also find the event details.
  • Even if you set your event as private, some details might still be visible to others when you invite guests or book rooms. These details may include:
    • Event start time
    • Event end time
    • Event creator

Understand task visibility

  • By default, even if you share your calendar, your tasks with a start and end time stay private unless you give others edit permissions to your calendar.
  • If you set the task with a start and end time to "Busy," your task becomes visible to others. However, the task details are hidden unless you give others edit permission to your calendar.
  • When you change visibility settings, these apply to future tasks that you create.

Important:If your calendar is public, people can find all details about events or tasks with a start and end time, even if you change the visibility settings.

When you share your calendar with others, you can select what they can do on your calendar. If you have a work or school account, your administrator controls how much calendar information you can share with others.

  • Find all details, except:
    • On events or tasks you mark as "Private"
    • Guest lists of events without "See guest list" permission

  • Find details for all events or tasks.
  • Add events or tasks.
  • Edit events or tasks.
  • Restore or permanently delete events or tasks from the calendar's trash.

  • Subscribe to email alerts for future events or when you create, change, cancel, or respond to an event.

People you share your calendar with can find and change any details. This includes private events or tasks.
