When you create a task, you can:
- Add details.
- Set a date and time.
- Add a deadline.
- Make it repeat on certain days.
- Add subtasks.
Important:
- Across all your lists, you can create up to 100,000 tasks.
- For any list, you can create up to 20,000 uncompleted tasks.
Create a task

Important:Only work or school accounts can use the "Do not disturb" and "Automatically decline meetings" options.
- On your computer, open Google Calendar .
- On your calendar, click an empty slot.
- Or, at the top left, you can click Create.
- Click Task.
- Update your task settings.
- Click Save.

Customize your task with additional options. You can:
- Change the color of your tasks.
- Set your availability to Freeor Busy.
- Turn on Do not disturbto mute chat notifications.
- Turn on Automatically decline meetingsif your availability is "Busy."
- Select your task's visibility to others.
Create a task from Tasks in Calendar
- On your computer, select an option:
- Open Tasks in Calendar .
- At the top right, click Tasks.
- Click Create.
- Enter your task details.
- Click Save.
Tips:
- To add a task to an existing list, at the top, click Add a task.
- Tasks with a date also appear on your calendar.
In most Google Workspace products, on the right, you can access Tasks in a side panel. You can also access Tasks in:
- In the side panel, on the right, click Tasks.
- At the top, click Add a task.
- Enter a task.
Tips:
- If you don’t see the side panel, click Show side panelin the bottom right of the screen. Learn more about the side panel .
- To add a task to an existing list, at the top of the list, click Add a task.
- Tasks with a date and time also appear in Calendar.
- On your computer, open Gmail .
- Open an email.
- At the top, click Add to Tasks.
- If you can’t find Add to Tasks, click More

Tip:You can also drag and drop an email into the Gmail side panel:
- In Gmail, on the right, click Tasks.
- If you can’t find Tasks in Gmail, at the bottom right, click Show side panel.
- Drag and drop the email to the side panel.
Create a task based on a message
- On your computer, open Google Chat
.
- You can also open Chat from your Gmail account.
- Open a direct message.
- Hover over a message.
- Click More
Add to Tasks. Your task appears in the last list you view.
Tips:
- When you add a date to your task, the task also appears in Calendar.
- If you edit the task in Tasks, the Chat message stays the same.
- To navigate back to your Chat message from Tasks, below the task, click the chat’s name.
Create a group task
- In Chat, open a space.
- At the top, click Tasks
Add space task.
- Enter your task details and include:
- A title.
- The date and time.
- A description.
- Optional: To assign the task to a space member, click Assign
enter the member’s name.
- When assigned, the assignee receives an email, and the task appears in their personal task list.
- Click Add.
Important:You can only add tasks from Google Docs if you have an eligible Google Workspace plan. Learn more about tasks in Google Docs .
- On your computer, open Google Docs .
- Open a document.
- Enter
@task. - Press Enter.
- Enter your task details.
- Assign the task to yourself or others.
- When assigned, the assignee receives an email, and the task appears in their personal task list.
- Click Assign as a task.
Tip:To quickly assign tasks from a checklist, to the left of a checklist item, click Add to TasksEnter the assignee and date.
Change a task
- From your computer, open Tasks in Calendar .
- Click the task you want to change.
- Change the task info.
Tips:
- You can also manage your tasks from the side panel.
- To change the date and time of the next repeating task in a series, click the date.
- To add a subtask, next to the task, click Task options

- To move a task to a different list, click Task options

Mark a task as complete
- From your computer, open Tasks in Calendar .
- To the left of a task, click Complete.
Delete a task
- From your computer, open Tasks in Calendar .
- Point to the task you want to delete.
- Next to the task name, click Task options
Delete.
- For repeating tasks, click Delete all.
Tip:To remove all complete tasks from a list, at the top of the list, click List options Delete all completed tasks.
Learn about task notifications
- If you add a date and time to your task, you get notifications at the scheduled date and time.
- Tasks with a date also appear in the Calendar app.
- For tasks without a time, notifications appear at 9 AM.
- For tasks with a deadline, you get a notification to complete the task on the day of the deadline at 9 AM in your local time.
Learn about repeating tasks
- To repeat a task, select the date and time
Repeat.
- Tasks with subtasks can't repeat.
- In Calendar, a certain number of upcoming instances of a repeating task will appear on the calendar grid, and as time passes, new ones will be added automatically.
