Create & manage schedules for tasks in Gemini Spark

You can put your workflows on autopilot by adding schedules to your tasks. A schedule acts as the automated trigger for a task, telling Gemini Spark exactly when to step in and execute your instructions. You can set these triggers based on time intervals, like every Monday morning, or based on certain conditions, like when an email arrives in your inbox.

To get started, you can schedule a task conversationally with Gemini in a task thread. Just describe what you want Gemini Spark to do and when to do it. You can also visit the Schedules page to create it yourself.

Important:This article covers schedules for tasks in Spark. Scheduled actions are a separate feature that  automates certain actions in Gemini chats. 

What you need

To use Gemini Spark, you must:

  • Be 18 or over and in the US.
  • Sign in to the Gemini appwith a personal Google Account with a Google AI Ultra subscription. Learn how to upgrade .
  • Have Keep Activity on.

Important:For now, Gemini Spark is:

  • Only available in English.
  • Only available in the Gemini mobile app and the Gemini web app at gemini.google.com .

Types of schedules

Gemini currently supports three types of schedules.

  • Time-based:schedule tasks to run once, hourly, daily, weekly, monthly, or yearly.
  • Gmail-triggered:schedule tasks to run when you receive an email that satisfies a Gmail filter.
  • Monitors: have Gemini check a condition throughout the day and take action when the condition is satisfied.
    • Tip:Gemini performs these checks every few hours, so monitors are not suitable for tracking fast-moving data or performing time-sensitive tasks like “Let me know when tickets go on sale immediately so I can buy it” .

Create a schedule

Create a schedule conversationally
  1. On your computer, go to gemini.google.com .
  2. On the sidebar, click Change modeand then Switch to Sparkand then Tasks.
  3. In the text box, describe the task you want to schedule. For example:
    • “Every day at 7 AM, look through my emails, calendar, and Drive, and let me know what to prioritize for the day.”
    • “Whenever I receive an email from my manager with an action item for me, help me address the action item and draft a reply.”
  4. Click Submit.
Create a time–based schedule using a blank template
The option to create a schedule manually is only available for time-based schedules.
  1. On your computer, go to gemini.google.com .
  2. On the sidebar, click Change modeand then Switch to Sparkand then Schedules.
  3. On the Schedules page, click Create manually.
  4. Enter a name for the schedule.
  5. Select when you want the task to run.
  6. Enter the instructions for the task.
  7. When you’re done, at the top, click Create. This saves the schedule to your “Ongoing” list.
Tip:To test your new schedule, hover over the schedule, then click More and then Run now.

Track the status of your schedules and modify settings as your needs change.

Find your schedules & check their statuses
You can find a list of the schedules that belong to a task in the task thread’s work panel.
  1. On your computer, go to gemini.google.com .
  2. On the sidebar, click Change modeand then Switch to Sparkand then Tasks.
  3. Click the thread for the task you want to check or manage.
  4. To show the task thread’s work panel, on the left edge of the thread panel, click Close tasks panel. Here, you can view all the schedules that belong to the task.
You can find all the schedules that exist across all your tasks on the Schedules page.
  1. On your computer, go to gemini.google.com .
  2. On the sidebar, click Change modeand then Switch to Sparkand then Schedules.
  3. Review your schedules organized by the following sections:
    • Ongoing:Schedules currently running or ready to run.
    • Paused:Schedules you have temporarily paused.
    • Completed:Schedules that are done running. Completed schedules can only be deleted.
Edit a schedule
Important: If you want to edit a schedule, you can ask Gemini to make the edit within the related task thread. You can also edit schedules from the Schedules page.

Step 1: Go to the Schedules page

  1. On your computer, go to gemini.google.com .
  2. On the sidebar, click Change modeand then Switch to Sparkand then Schedules.

Step 2: Choose how you want to edit the schedule

To edit with Gemini:If you can’t find the task thread with the schedule:

  1. On the Schedules page, hover over the schedule you want to edit.
  2. Click More and then Edit with Gemini.
  3. In the thread, tell Gemini the changes you want to make.

To edit the schedule directly:

  1. On the Schedules page, click the schedule you want to edit.
  2. Make your changes to the schedule, like when it should run and its instructions.
  3. When you’re done, at the top, click Save.

Tip: To edit the trigger for a schedule that isn’t time-based, use Edit with Gemini.

    Pause or resume a schedule
    1. On your computer, go to gemini.google.com .
    2. On the sidebar, click Change modeand then Switch to Sparkand then Schedules.
    3. Click on the schedule you want to pause or resume to go to its details page.
    4. At the top, click More Pause or Resume.
    Delete a schedule
    Important:If you delete a Spark task thread, it also deletes all schedules in that thread.
    1. On your computer, go to gemini.google.com .
    2. On the sidebar, click Change modeand then Switch to Sparkand then Schedules.
    3. Hover over the schedule you want to delete.
    4. Click Moreand then Delete.

     Fix a problem

    I can’t create or turn on a schedule
    There are a few reasons why you might not be able to create or turn on a schedule.
    • Active schedules limit reached:The current limit for how many active schedules you can have in Gemini Spark is 50. To create or resume a schedule after reaching this limit, first pause or delete an existing one.
    • Completed schedule:You cannot edit or resume a schedule after it’s marked as complete. You can only delete it.
    • Missing required fields:If you’re creating a schedule from a template but can’t select “Create,” make sure to fill out all sections: the schedule’s name, when it should run, and instructions for the task.
    Why didn't my schedule run on time or run at all?

    Here are some reasons that a schedule might not run:

    • Usage limit reached:
      • Gemini Apps have compute-based usage limits that determine how much you can interact with Gemini tools and features. Schedules will not run if you have reached your limit at the time it was set to run. Other features may also be unavailable when you reach your usage limit. Learn more about limits in Gemini Apps .
    • Concurrent task limit reached:You can have at most 15 tasks running at a given time. A schedule will not run if there are already 15 tasks currently running.
    • Schedule run times vary:Scheduled tasks run times are approximate and may not run at the exact moment a time or event condition is met.
    • Delays during high traffic:When there’s a large increase in activity in Gemini Apps, scheduled tasks might be delayed.
    What happens to my schedules if I turn off Gemini Spark?
    If you turn Gemini Spark off, any schedules will automatically pause.

    What's the difference between a task, schedule, and skill?
    To help you get the most out of Spark tasks, it’s helpful to understand the three building blocks that power its logic: tasks, schedules, and skills. Think of these as the what, when, and how.
    A task is your high-level goal.It represents a complete project or objective you want Gemini Spark to manage for you.
    • Example: "Plan and manage my business trip to London."
    A schedule lets you hand over tasksto Gemini Spark so they run automatically in the background. You tell Gemini what to do and when to do it. Tasks can be scheduled to run at a specific date and time or in response to an event.
    • Example:"Every day at 8AM (condition), give me an update on AI news (task)"
    • Example:"When my flight is delayed (condition), notify me and propose an update to my itinerary (task)."

    A skill is a set of reusable instructions and additional context.It teaches Gemini how to do a specific task and what tools to use. You can specify the skill Gemini Spark should use for a task or a schedule’s action. Spark can also automatically use a skill when it’s relevant to a task.
    • Example:Using a "Travel Booking" skill and a "Gmail Writing" skill simultaneously to rebook a room and send a confirmation.
    In summary, you define the task (what you want), set the schedules (when it should happen), and provide the skills (how to do it) to complete the work.
